The Preservation of Archival Heritage in University Archives and Extension Policies

Following the view of Pierre Bourdieu, the university can be seen as s site of knowledge where several human knowledge and actions interact to each other. The complete vision of the contemporary university includes the potential of knowledge and the ability to act by its human resources and, therefrom its scientific and technological production. Based on the new understanding context of university extension, the Federal University of Santa Maria [Universidade Federal de Santa Maria (UFSM)], in the state of Rio Grande do Sul, established its Extension Policy, which was approved by the University Council in 1998. This document included Programs, Subprograms and Extension Areas that were updated in 2003, in accordance to the changes arising from the establishment of a new National Extension Plan. These Programs, Subprograms and thematic Areas are being transformed into extension actions, characterized as programs, projects, courses, events, services, publications and other academic products to be categorized according to the thematic areas and extension lines. According to the institutional policies of information preservation and systematization, the UFSM Rector Resolution number 16 from 2010, has implemented in the university sphere the new Institutional Production Registry System – the modulus Registry, Accompaniment and Evaluation of Projects in the Teaching Information System (SIE). The SIE system has resources for data extraction and its transformation in operational and management information and, the system is conceptually divided in ten application systems. Under the archivist view, the production of information derived from extension actions into university archives, is part of the institutional memory and the documentary heritage. The General Archive Department (DAG) is making efforts to construct a classification schema that is adequate to this extension policy.
